Mortgage Operations Coordinator

Heritage Bank has an excited opportunity to join our organization! We are seeking a Mortgage Operations Coordinator in Bellingham, WA. The Mortgage Operations Coordinator is responsible for providing workflow, compliance, and loan origination system support to the department and serves as a resource for compliance and system monitoring and maintenance related issues.

The successful candidate:    

  • Monitors maturing portfolio loan reports and assists lenders with processing renewals or extensions in a timely manner. 
  • Monitors and provide weekly delinquent portfolio report to management.
  • Assists lenders in the preparation of required criticized asset reports within required timeframes. 
  • Assists with loan origination system (LOS) updates, maintenance, and functionality to improve workflows and efficiencies. Provides (LOS) and other system software applications support to employees, including new user setup, password resets, and resolves system issues. 
  • Conducts sample reviews of mortgage loan files, including cancelled files. Creates and runs reports to identify compliance exceptions, inaccurate or missing data. Correct errors or work with appropriate staff for resolution.
  • Assists with Vendor Management to ensure required tasks are completed timely. 
  • Creates reports and assist with documentation requests for mortgage loan reviews, audits, and HMDA review.
  • Monitors, updates and creates procedures on the department intranet site. Monitors content on the mortgage team intranet site to ensure it is consistent and current, make recommendations for improvement.
  • Provides backup for the disclosure desk to ensure disclosures are provided in accordance with established guidelines and within required timeframes. 
  • Assists with project coordination and support to the department, ranging from participating in and managing meeting schedules, troubleshooting and tracking project process through completion.
  • Prepares and summarizes data or reports from a variety of sources in accordance with specific instructions or procedures. May include creating spreadsheets or documents. 
  • Prioritizes workload to ensure timely completion of all assigned duties. 
  • Understands and maintains working knowledge of, and ensures bank activities are performed in compliance with, all state and federal banking laws and regulations applicable to assigned area.
  • Cross-train within the department to provide back-up, as needed; contributes to the success of the department with willingness to share in all department responsibilities. 


  • High School Diploma or equivalent – required. Bachelor's degree in Business Administration, with emphasis in Finance and/or Accounting – preferred.  
  • 3 years’ recent mortgage operations experience which includes working knowledge of mortgage loans, systems and lending compliance - required.
  • General working knowledge of both theoretical and practical aspects of project management – preferred.
  • Equivalent combination of education, training and experience may be considered.  
  • Provides an exceptional level of service for internal and external customers and responds to customers' needs, questions and concerns in an accurate, effective, and timely manner.  
  • Strong listening, verbal, written, and telephone etiquette business communication skills, including effective negotiation and presentation skills in a variety of settings; with the ability to read, write, speak, and understand English well.  
  • Demonstrated problem-solving skills with excellent attention to detail and a strong focus on accuracy.   
  • Strong organizational, time management, data review and processing skills; with the ability to manage multiple assignments, ensuring that priorities are set, with the ability to meet multiple and sometimes competing deadlines. 
  • Demonstrated self-motivational skills and the ability to work in a high pressure, high-volume production-oriented environment while ensuring deadlines are met. 
  • Working knowledge of banking regulations, rules and guidelines; operational policies and procedures.  
  • Ability to work independently while understanding the necessity for communicating and coordinating work efforts with other employees and departments.  
  • Unquestionable integrity in handling sensitive and confidential information required.  
  • Proficient use and understanding of MS Office products (Word, Excel, Outlook), with the ability to adapt to and learn new technologies quickly.
  • Strong knowledge of financial services loan systems, mortgage origination systems, platforms tools and technology – required. Experience with Encompass 360 – preferred. 

Working Environment/Conditions:   

  • Climate controlled office environment. 
  • Work involves being able to concentrate on the matter at hand, under sometimes distracting work conditions and frequent interruptions during the day.  
  • Work requires regular attendance, punctuality and adherence to agreed-upon schedule with willingness to work a flexible and/or rotating schedule and or extended hours, as needed.  

Physical Demands/Effort:   

  • Work may involve the constant use of computer screens, reading of reports, and sitting throughout the day.
  • Ability to operate a computer keyboard, multi-line telephone, photocopier, scanner and facsimile which often requires dexterity of hands and fingers with repetitive wrist and hand motion.
  • Typically sitting at a desk or table; intermittently standing, stooping, bending at the waist, kneeling or crouching to file materials. 
  • Occasional lifting and/or moving up to 10 lbs (files, boxes, etc.)
